OUR COMMITMENTS

At MAKE your privacy is important to us. We take great care in protecting your privacy and the information you provide whilst conducting research with us (whether hosted on our own website, third part market research websites on our behalf, such as Survey Monkey, or by any other means, including by telephone or face to face).

We are committed to meeting the requirements of the following laws and codes:

  • The EU General Data Protection Regulation (GDPR)

  • Data Protection Act 1998 and the new Data Protection Act which will enact GDPR requirements

  • Market Research Society’s (MRS) Code of Conduct

  • ICC/ESOMAR (European Society for Opinion and Marketing Research) International Code on Market and Social Research.

MAKE will not sell or promote anything to you: we undertake research using scientific methods and we commit, in obtaining your co-operation, not to mislead you about the nature of the research or how the findings will be used. Your responses will be treated as confidential unless you consent to being identified. 


OUR RESEARCH INVITATIONS AND REQUESTS

We will not mislead you about the nature of the research or how the data will be used. If you take part in our research, it will be because of one of the following reasons:

  • You were stopped on the street, visited at home, place of work or similar by one of our own researchers or contract researchers and were asked to take part in the research we are undertaking.

  • You were sent an invite by another organisation to take part in a survey we are hosting for them (e.g. via an online survey site such as Survey Monkey).

  • You have given permission for another organisation to supply your details to a third party for research purposes.

  • You have taken part in previous research administered by MAKE and given us your permission to contact you in the future for research purposes or to follow up with you about your answers.

If you have been contacted by MAKE and you do not believe you have given your permission or just wish your name to be removed from our database, let us know and we will remove you and inform the relevant organisation who supplied your details.

We never knowingly invite children under the age of 16 to participate in research studies without taking measures to ensure appropriate consent from a responsible adult. This is in line with the UK Market Research Society’s Code of Conduct.


THE INFORMATION WE COLLECT

We will collect information when we conduct research with you. We generally do so for one or more of the following purposes:

  1. To invite you to participate in research

  2. To confirm the details of research you have agreed to take part in

  3. To conduct the research with you

  4. To validate or clarify answers/views you gave in a recent research we conducted (we will let you know at the time of the research that we intend to do this) 

  5. To ask if you would take part in further related research (subject to you having given consent that you would be interested in this). 

  6. To update and to ensure that our records of your personal information are correct

  7. To provide you with an incentive for taking part in our research which we offered you at the time and which you are expecting.

The information we collect when you undertake research with us may contain your personal opinions as well as personal information such as name, address, postcode, gender, occupation, age, date of birth, email address, telephone number etc. We may occasionally ask you about sensitive personal information such as political views. You may at any time decline to answer any or all questions. 

Where relevant to the research being undertaken, we may collect business contact information, such as, company name, job title, and department.

In addition, for online surveys we use Survey Monkey (or similar software). For the purposes of ensuring the best experience and to prevent duplicate surveys, this may capture your IP address, which type of browser you are using other basic metrics. We DO NOT store this information or access it.

We do not undertake ANY invisible processing of data from your computer. We will only collect and use personal information in accordance with this policy to the extent deemed reasonably necessary to serve our legitimate research purposes. We (and Survey Monkey) maintain appropriate safeguards to ensure the security, integrity, accuracy and privacy of the information you have provided. MAKE Associates makes every effort to keep personal information in its possession or control, which is used on an ongoing basis, accurate, complete, current and relevant, based on the most recent information available to us. We rely on you to help us keep your personal information accurate, complete and current by answering our questions honestly.

Personally, identifiable information collected will be kept for no longer than 12 months from project commencement (unless stated specifically at the time of taking part). Non identifiable information you give will be kept for no longer than 5 years. We do this by deleting it from our servers and that of research software providers such as Dropbox and Survey Monkey on the dates noted above.


HOW WE USE YOUR INFORMATION

The personal information we collect is:

  • Combined with the responses/views/opinions of others who participated in the same research and reported back anonymously to the client that commissioned the study

  • Used on an aggregated basis to determine which groups of people think certain things more than others

  • Used sometimes to administer and operate incentives for taking part (further details on this use of personal information can be found in the applicable incentivisation terms and conditions available on request or at the point of undertaking the research)

  • Occasionally, as noted above, used to re-contact you to validate your responses (if you have consented to us doing so).

All of your survey responses are treated as confidential. We will never intentionally disclose your personal information or individual survey responses to the client that commissioned the study or any third parties unless:

  1. You request or consent to sharing your identifying information and individual responses

  2. In the extremely rare circumstances that the information is subject to disclosure pursuant to judicial or other government subpoenas, warrants, orders or for similar legal or regulatory requirements.


WHO WE SHARE YOUR INFORMATION WITH

We will NEVER sell your personal information to third parties. From time to time we may employ other companies and individuals to perform research analysis on our behalf. They will have access to the personal information needed to perform their functions but will never be allowed it for other purposes. They will also be required by us to sign a legal agreement that they will only process the personal information in accordance with the terms set out in this Privacy Policy and thus as permitted by the GDPR / Data Protection Act/ laws. A further condition is that any data will be destructively deleted from their servers and systems on transfer of the results and analysis to us. We hold written confirmation of this. 

By conducting our research, you consent to us transferring your personally identifiable data to other companies within the EEA only for the purposes mentioned above. We make every endeavour to ensure that your personal information is kept confidential and secure.


COOKIES

A cookie is a small text file that may be placed on your device (computer, mobile phone, tablet) when you visit our website or complete one of our surveys hosted via a third-party online research tool such as Survey Monkey. To complete a survey with us Survey Monkey will use a ‘session cookie’. This is a temporary cookie and is removed when you close the browser. This session cookie allows us to give your visit to our website (or one of our third-party partners’ websites) a unique identifier so you can complete the survey. You can configure your browser to notify you when cookies are being placed on your computer. You can also turn cookies off and delete those you do not want. SECURITY

MAKE maintains appropriate technical, administrative and physical safeguards to protect information, including, without limitation, personally identifiable information, received or collected by us. We review, monitor and evaluate our privacy practices and protection systems on a regular basis. Only relevant employees have access to the personal information you provide to us and are only granted access for data analysis and quality control purposes. MAKE is not responsible for any errors by individuals in submitting personally identifiable information to us.


ACCESS RIGHTS

Respondents’ co-operation in any MAKE survey is voluntary at all times. You are entitled to access the personal information we hold about you (which is known as a ‘subject access request’) and you have the right to update any incorrect information. Wherever reasonable and practical we will carry out such a request and do it as quickly as we possibly can. 

You also have the right to withdraw consent you gave for participation in one of our surveys at any time and have your personal details erased.
